Introduction
At BrookHead Events, we value the trust our clients place in us to plan and manage their special occasions. This Refunds & Cancellation Policy outlines how cancellations and refunds are handled to ensure fairness and transparency for both parties.
Booking Confirmation
All bookings are confirmed only upon receipt of a non-refundable advance deposit, as specified in your proposal or quotation.
Remaining balances are due as per the agreed payment schedule shared in the official invoice or contract.
The booking is considered valid only after payment acknowledgment from BrookHead Events.
Client-Initiated Cancellations
If you wish to cancel your event or service, you must notify us in writing via email at Brookheadprivatelimited@gmail.com.
Refunds will not be issued automatically — instead, BrookHead Events will review each case individually.
Our team will meet with you to negotiate and finalize a fair refund amount, depending on:
- The stage of event planning and execution
- Payments already made to third-party vendors
- Time and resources invested in your event
💡 Please note: The advance deposit is non-refundable under any circumstances.
Event Postponement
If you wish to reschedule your event:
- We will make every effort to accommodate your new date, depending on staff and vendor availability.
- If rescheduling is requested more than 30 days before the event, no penalty will apply.
- Requests made within 15 days of the event may incur a rescheduling charge to cover vendor and logistic costs.
Cancellation by BrookHead Events
In the rare event that BrookHead Events must cancel a booking due to circumstances beyond our control (such as government restrictions, extreme weather, or emergencies), we will:
- Arrange a client meeting to discuss all costs incurred and negotiate an appropriate refund amount based on the work completed and vendor commitments.
- Provide documentation of payments made to third parties if applicable.
Vendor & Third-Party Services
If your event package includes vendors (e.g., caterers, photographers, entertainers, decorators), please note:
- Their individual cancellation and refund policies will apply.
- BrookHead Events will assist in coordinating with them, but we are not responsible for vendor-specific refund decisions once their services are confirmed.
Refund Process
Refund amounts agreed upon after discussion will be processed within 7–14 business days via the original payment method.
A confirmation email will be sent once the refund has been initiated.
Non-Refundable Components
The following items are strictly non-refundable:
- Consultation, design, and planning fees
- Vendor deposits made on behalf of the client
- Marketing, printing, or branding materials
- Any travel, logistics, or accommodation expenses incurred prior to cancellation
